Recording Expenses
Track and categorize all expenses for accurate financial reporting.
Overview
Proper expense tracking is essential for HOA and property management. HOAMS makes it easy to record, categorize, and report on all expenses.
How to Record an Expense
1. Navigate to Accounting
From the sidebar, click Financials → Accounting.
2. Go to Expenses Tab
Click on the "Expenses" tab in the accounting dashboard.
3. Click "Add Expense"
Click the "Add Expense" button to open the expense form.
4. Enter Expense Details
- Description: Brief description of the expense
- Amount: Total cost in dollars
- Expense Date: When the expense occurred
- Vendor: Who you paid (select from vendors or enter new)
- Category: Select from predefined categories
- Payment Method: How it was paid
- Reference Number: Check number or transaction ID
5. Select Category
Choose the appropriate expense category:
- Maintenance: Repairs and upkeep
- Utilities: Water, electric, gas, internet
- Insurance: Property and liability insurance
- Legal: Attorney fees and legal costs
- Landscaping: Lawn care and landscaping services
- Administrative: Office supplies, software, etc.
- Reserve Fund: Contributions to reserves
- Capital Improvement: Major upgrades and renovations
- Other: Miscellaneous expenses
6. Upload Receipt (Optional)
Click "Upload Receipt" to attach a photo or scan of the receipt. This helps with record-keeping and audits.
7. Link to Maintenance Ticket (If Applicable)
If this expense is related to a maintenance ticket, select the ticket from the dropdown to link them together.
8. Add Notes
Include any additional context or details about the expense.
9. Set Status
Choose expense status:
- Pending: Awaiting approval
- Approved: Approved for payment
- Paid: Payment has been sent
- Cancelled: Expense was cancelled
10. Save Expense
Click "Record Expense" to save.
Viewing and Managing Expenses

The expenses list shows:
- Expense description
- Amount
- Date
- Category
- Vendor
- Status badge
- Action buttons

Filter by:
- Date range
- Category
- Status
- Vendor
- Client
Best Practices
- Record promptly: Enter expenses within 48 hours
- Always upload receipts: Digital copies prevent lost documentation
- Use correct categories: Consistent categorization improves reporting
- Include detailed descriptions: Future you will thank you
- Link to work orders: Connect maintenance expenses to tickets
- Reconcile monthly: Match expense records with bank statements
- Review regularly: Check for duplicate entries or errors
Troubleshooting
Can't find an expense? Check your date filters and client selector.
Total doesn't match? Verify all expenses have correct amounts entered.
Receipt won't upload? Check file size (max 10MB) and format (PDF, JPG, PNG).
